On Saturday, our team of top-notch virtual receptionists celebrated the summer in true Ruby® style and set sail for nautical party down Portland’s Willamette River. Our team commits each day to the Ruby mission of making people’s days brighter, and this was our chance to give back to them and celebrate those efforts! In this week’s “Ask a Virtual Receptionist!” I ask virtual receptionist Sara-Lee B. what she would tell callers who ask, “Is she in today?” Since Ruby® Receptionists provides receptionist services for clients remotely, unless they have let us know, we may not be certain whether someone is physically in the office or not.

However, most of the time callers are simply inquiring whether the person is available to speak with them or not — which we are happy to find out!
So, Sara-Lee, how would you handle the question, “Is she in today?”
Sara-Lee: I shake it up all the time, but sometimes I say, “I would be happy to try her line and see if she’s available. May I say who is calling?”
By offering assistance instead of a dead end like “I don’t know,” she’s able to keep the call moving and help the caller without revealing that she’s not in the same office!

In honor of this special occasion, our virtual receptionists held a bake-off and gift exchange. What better way to celebrate an eighth birthday than with cake, presents, and most of all, friends?! If you’ve spent some time in Ruby® Receptionists’ Member Services Area lately (or have been reading the Ruby blog!), you’ve probably noticed quite a few new features. You can update our virtual receptionist team as to your whereabouts, quickly search messages, and monitor your call history all on our newly mobile-friendly Member Services site! Another new addition: you can now easily set up automatic email and/or text alerts for every call our virtual receptionists answer for you!
As you know, when one of our virtual receptionists takes a message for you or transfers a caller to voicemail, she will immediately send an email and/or text message to you. In fact, even if the caller declines to leave a message, our helpful virtual receptionists will send you an FYI message letting you know that they called!
You can also set email alerts for each call that is connected, solicitation calls, wrong numbers, and more! Simply log into Member Services, located at the lower right-hand corner of the Ruby homepage, and add an Email Notification.
For example, our virtual receptionists are able to answer a number of frequently asked questions without interrupting you, just like an in-house receptionist would (“What’s Dave’s email address?” “What’s your fax number?” etc.). If you sign up for this email alert, you’ll receive a notification of the call with any details the receptionist picked up along the way:

A few of our virtual receptionists got together on a day off from phone answering to support our local animal shelter. As you know, one of our core values is to Create Community, and that goes for Rubys, clients, and our local Portland community, too! This weekend, the “Ruby Rascals” team and their dogs participated in a charity walk called the Doggie Dash which raised funds to help animals at the Oregon Humane Society. And of course, if you have been following us for a while, you know we have a lot of dog lovers that jump at the chance to support the Humane Society.
The Ruby team had a ball soaking in the beautiful spring day and cute pooches for a good cause. We checked out the “Best Pet Trick” and “Strangest Mutt Mix” contests, met some great vendors, and walked our dogs along the beautiful Willamette River. Most importantly, we surpassed out fundraising goal and raised over $500 to support OHS. That is enough to offset the cost of transporting 35 pets from a shelter hundreds of miles away to the Humane Society, where they get a second chance at life! We had a fabulously fun day and we felt great about supporting pets in need.
