What Are the Busiest Workdays of the Year?

We love data. And we’re kind of obsessed with KPIs. We keep tabs on call volume, call times, and a range of other metrics so that we can plan for the best virtual receptionist staffing throughout the day, ensure that our clients’ calls are answered promptly (within 4 seconds, on average!) and keep our virtual receptionists happy and stress-free. If you’d like to geek out with us for a moment, we thought we’d share a little about the over-arching trends we’ve noticed.

Below are a few graphs of Ruby’s clients’ total call volume and what we’ve extrapolated from patterns over time.

(Large dips are major holidays when we’re closed like Thanksgiving and Christmas)

People work less (or at least call businesses less often) during December. People take more vacations towards the end of the year, so it makes sense that call volume would start to drop off after the Thanksgiving holiday.

Folks are back in action on the first business day after New Year’s. The skinny sliver at the end of the graph above is the week between Christmas and New Year’s, the lowest call volume of the year. Possibly a testament to strong resolutions, the first business day after January 1st marks the largest jump in call volume all year, and things steadily ramp up again until November.

Call Answering Last Month

People work much harder the week following a working holiday. The large dip on the graph above shows President’s Day last month; more people called the day after than on a typical Tuesday, and usually the call volume stays above normal for the rest of the week.

People work hardest on Monday and Tuesdays. Ruby clients tend to receive the most calls at the beginning of the week. Conversely, Friday is the least busy day — perhaps because folks are finishing projects and saving their phone calls for Monday.

We get a little giddy looking at all of our data and love thinking about the larger trends behind the peaks and valleys — we hope you had just as much fun taking a peek behind the Ruby curtain!

Happy Valentine’s Day from your Virtual Receptionist Team!

If you are an avid Watercooler reader, I am sure you know by now that our team of virtual receptionists needs no excuse to celebrate and share a little happiness. Lucky for us, today is Valentine’s Day, and it is the perfect reason to celebrate and share a little sweetness! To spread a little love to our coworkers, we hosted a Valentine’s sweet treat potluck. Our kitchen is overflowing with amazing baked goods and candies made by our multitalented staff, and one of our wonderful local clients brought in some goodies for our virtual receptionist team, too! The Ruby Team Shares New Year’s Resolutions!

Receptionist resolutions for 20122012 is fast approaching, so I asked the virtual receptionist team here at Ruby® what the new year might hold for them! Here’s a smattering of our team’s resolutions:

Virtual Receptionist Stephanie S.: Read one new book on each of the American Presidents in order (I’m giving myself two years for this one, but I got excited and started early; almost done with George Washington!)

Virtual Receptionist Jessica M.: I just bought a gym membership, so I’m planning to go 3 times a week. I’m also going to read more books and go camping at least twice this summer!

Sales Associate Ashley Fisher: I’m getting a puppy!!

Scheduling Ninja Bri Popson: I signed up for a 5k run in August that I’m set on completing to some degree of grace!

Virtual Receptionist Annie M.: I’m going to take a vacation! (In addition to cheerfully answering phones at Ruby for the past four years, Annie is a small business owner herself, managing a local clothing store — she’s earned it!)

Virtual Receptionist Melissa W.: I hope to finally take a sewing class, and let’s see, eat lots and lots of pizza!

Star Service and Receptionist Cultivator Ang Gray: I like to make my resolution more of a theme, for example one year it was: Live my values. This year I’d like to focus on self-care. As a parent and staff manager, I love being able to take care of others, but this year, I’d also like to get to know myself better.

Director of Culture Sarah Sackett: I’m looking forward to getting married to the love of my life!

Virtual Receptionist Jill H.: I have this book called 60 Hikes Within 60 Miles of Portland. I am going to do all of those hikes in 2012!

Sales and Marketing Associate Katie Wilson (aka yours truly): In 2012, I’ll have known my best friend for 12 years, so I hope to squirrel aways some funds and take a celebratory trip to Ireland together!

Ruby Creates Community in Our New Office!

We had so much fun with our local clients and friends at our open house last night! It’s so nice to be able to spend time with everyone face to face and chat; after all, Creating Community is one of our Core Values! It was a real treat getting to know our clients and vendors even better. We know that not all of our clients had the opportunity to come out last night (our virtual receptionist service serves businesses in virtually every state!), but hopefully these pictures will make you feel like you were right here with us:

2. Among Portland’s many nicknames are Bridgetown, Stumptown, and the City of Roses.

3. Portland was ranked the second most bike-friendly city in the world last year, second only to Amsterdam in the Netherlands. We also have lots of alternative transportation options, including buses, a light rail system, and a streetcar that stops right outside the Ruby office.

4. Portland’s home to the largest independent new and used bookstore in the world, Powell’s Books. Ruby’s just a few blocks down the street!

5. There’s a massive food cart culture here — over 200 carts city-wide! My personal fave is the Potato Champion; they have Belgian style fries — yum!

6. Portland is a very crafty city (and many Rubys are avid knitters, jewelry makers, and artists), and birds are indeed a prevelant motif.

7. Coffee, coffee, coffee! Like all good PacWesters, we can’t get enough. Local roasters, Stumptown Coffee and Nossa Familia keep our virtual receptionists bright and cheerful all day long.

I could go on and on! One of the great things about a virtual receptionist service is that it can be based anywhere, and the receptionists can sound like they’re right in your office, miles away; however, our cheerful virtual receptionist service is imbued with Portland’s vibrant, friendly culture, it’s no wonder we’re able to sound so happy!

Our Favorite Free Social Media Tech Tools: Hootsuite, Bitly, and Picasa

Since Ruby® Receptionists is a virtual receptionist service, serving clients across the country, we don’t always have the opportunity to meet our clients face to face. However, we enjoy getting to know our clients and Creating Community with everyone we chat with over the phone. So how do we connect with our clients? Besides dropping handwritten notecards in the mail and other personal touches, we love to build relationships with our clients, vendors, and friends on Twitter, Facebook, and our blog.

To help us manage our various social media channels, we’ve found Hootsuite, bitly, and Picasa immensely helpful — and best of all, they’re free! Here’s how these tools may boost your small business’ social media efforts, too:

Hootsuite. You can connect your Twitter and Facebook feeds to this handy tool to keep track of your feeds in one place. Create Twitter “lists” (which can be public or private) to keep track of all your followers. You can even schedule tweets and posts in advance!

bitly. A link shortener is great for sharing content with your followers and most have built-in metrics. Though Hootsuite has its own link shorteners (ow.ly and ht.ly), bitly is Twitter’s default shortener and I find its metrics easier to digest. You can view your link history, how many clicks each received, and archive old links. Bonus: every link comes with its own QR code!

Picasa. Many of our virtual receptionists and staff members (myself included) look forward to our “Fashion Fridays” here at Ruby. Each week, virtual receptionists Sara-Lee and Mercedes pick a theme for a dressed up Friday, and we share photos with our Facebook fans. We love seeing our coworkers’ creativity in the festive wear, and our clients enjoy seeing who’s answering their calls. Picasa helps me edit these photos like a pro. Cropping, red eye reduction, and basic color changes are all included and help me show my fellow Rubys in the best light possible. If you share a lot of photos with your fans, Picasa is an easy, inexpensive alternative to Photoshop.

Ruby’s Virtual Receptionists Put the Fun in Creating Community!

Each quarter, we like to add a bit of fun to our virtual receptionists’ days with an incentive campaign. These campaigns are based on our Core Values and tie into our company mission. I’ve already shared with you how we fostered happiness with our Random Acts of Happiness scratch ticket game. This quarter we are focusing on our Ruby value of “Creating Community” with our “Client Connections Bingo” game.

While anyone can connect calls to another line, we are in the business of connecting people. Ruby isn’t just any old answering service; we relish the chance to really get to know our clients and be a meaningful part of their day. And that’s what this quarter’s campaign is all about.

Over the next six weeks, our virtual receptionists will be embarking on a scavenger hunt, of sorts, to learn more about our clients. The bingo board is filled with actions that help create community with our clients – like sending notecards, making a caller laugh, or sharing stories with the team of all the great connections they have made. They will also be on the look out to learn more about our clients to help them get to know them a little better and maybe even find some interests in common! Each time they complete a task or learn a new fact, they get to cover a block in the bingo board and try for a trip to the bingo prize table!
