Ruby’s Fifth Annual Volunteer Night at the Oregon Food Bank

Volunteering at the Oregon Food BankVolunteering at the Oregon Food Bank has become one of our favorite Ruby traditions. For the past five years, Rubys have gathered around Thanksgiving to package food for families in need, and last night, almost half of our virtual receptionists and staff chose to spend their evening giving back to our local community!

Even before our arrival, the team was busy collecting donations for our food drive. We were able to pack our IT Director Keith’s truck full of nonperishable goods and ended up donating roughly 600 pounds of food this year thanks to the generosity of our team! After we dropped off the donations, we all suited up in hairnets and aprons and got to work packaging red beans. In just a few short, dance-party-filled hours, we were able to put together over 7,000 meals for needy families in our community!

Ruby Creates Community and Celebrates with a Summer Soiree!

(right), and Erin's mom (center)We love what we do, and it’s incredible to come to work every day with several dozen folks who feel the same way about making meaningful connections. This weekend, we held our annual Ruby summer party to thank our staff, celebrate our accomplishments, and have some fun with our fellow virtual receptionists. 

Joined by some of our local clients and friends, we ventured to bucolic Oregon wine country for our Summer Soiree. We spent a lovely evening at Hawks View Cellars for a bit of wine tasting, community building, and dancing the night away! We were even lucky enough to have our party the same night as the Perseid Meteor Shower, so our guests were also treated to a beautiful show. Create a Happier Business by Inspiring Happy Employees

Random Acts of Happiness incentive campaignHappiness is great for business: it lowers mistakes, increases sales, motivates employees, and makes clients happy — but how can you make your employees happy? Holiday celebrations are a great start, but what can you do year-round to increase happiness at your company? 

Incentive campaigns are one of our favorite tools to help inspire our staff and achieve our goals while having a little fun in the process! Sometimes we have individual prizes; other times employees earn points toward a big group goal, like a catered breakfast. And sometimes we focus on tangible things like accuracy and big picture metrics, but other times we look for more abstract results the lead to the greater good, such as happiness.

I’ve written in the past about our annual Random Acts of Happiness campaign (or “RAH”) where our team hands out scratch tickets to their coworkers for a job well done or to recognize a peer for doing something special – holding a door for someone, a thumbs up through the glass partition of your cubicle, anything that makes your day brighter can be an opportunity for a RAH ticket. There are instant wins sprinkled throughout, and a few grand prizes for those who collect a word or phrase.

But there’s more going on than just physical rewards. An instant win can definitely give an immediate boost in mood – and the next customer they talk to after their lucky streak will certainly feel the effects of that happiness. The simple act of giving a RAH ticket and expressing gratitude to a coworker can foster happiness, too. And many times during the campaign, Rubys will stick around to see what their coworker has won and take an extra few minutes to chat and make a connection, yet another mood booster. After a few weeks of practicing gratitude, it’s hard to stop! After the campaign itself is over, Rubys often recognize their peers with a personal note or public shoutout on our Intranet!

People who feel appreciated and those who take time to express their thanks are happier people. And that in turn can help your business by fostering trust between team members and creating a habit of looking for opportunities to be thankful. Gratitude is a powerful tool to help foster happiness, and holding an incentive campaign is a fantastic way to inspire and empower employees to share!

Ruby Celebrates Our 9th Birthday in Style!

Ruby's 9th Birthday!Today, we celebrated our ninth year in business in true Ruby style – with a birthday party! We know how important it is to take time out to really celebrate the road that led us here. To mark the occasion, we hosted our second annual Ruby Bake-Off and birthday gift exchange! Lauren O. won the bake-off with some amazing Oreo truffles and walked away with a shopping spree to Sur La Table! This weekend, a team of Rubys descended on Portland’s Waterfront Park to take in some sunshine, hang out with some cute dogs, and most importantly raise funds and awareness for a cause that is very near and dear to my heart: the Oregon Humane Society. This was the 4th year our “Ruby Rascals” team has participated in the OHS Doggie Dash, and this year was just as fun and adorable as ever!

Leading up to the dash, we put on a bake sale in the office to help our team raise funds and support the cause. With the help of some of our amazing bakers and generous teammates, we raised enough to feed all the animals in the shelter for one day and enjoyed some sweet treats in the process! We’d like to think we are saving puppies, one cupcake at a time!

On Friday, a group of our fabulous virtual receptionists stepped out to celebrate with Dress for Success’s annual fundraising dinner and fashion show! We we were thrilled to sponsor a table at the event, and we enjoyed meeting some extraordinary people, hearing lots of heartwarming stories, and checking out some out fashion from local designers.

As a company primarily made up of women, Dress for Success is an organization near and dear to our hearts. Not only that, our own receptionist extraodinaire, Emily B., came to Ruby two years ago through the support of Dress for Success, and we could not be more proud to have her as part of our team! She’s wonderful to work with, a delight on the phone, and is a large part of what got us involved with this great organization!

Happy Secretary’s Day!

Today is Ruby’s favorite holiday: Secretary’s Day! It’s actually the 60th anniversary of the holiday, also known as Administrative Professionals’ Day, recognizing the work of those “Directors of First Impressions” on the front lines of businesses. As an office of virtual receptionists, we are really proud and excited to be able to celebrate!

Our break room was flooded with delicious homemade treats, lovingly made by our team (seriously, cakes, cookies, casseroles, and finger foods took up almost all the counter space!). We continued our tradition of dressing up in our favorite old-fashioned secretary attire, and we treated the team to goodie bags to recognize their hard work. The office was filled to the brim with treats and smiles, and we had an amazing day!

We hope you also had a great day, and we want to wish a happy day to the other 8.9 million administrative professionals worldwide! Keep up the great work!

WOW Story of the Month: Ruby Works Our Magic!

Ok, so maybe we didn’t catch a criminal really…but one virtual receptionist certainly did her best to share some good luck with a client in need! 

A few weeks ago, Claire was chatting with a client, and he mentioned that he had been having some trouble with a thief stealing things from his yard. Claire really wanted to help brighten his day, so she did her best to send him some good old-fashioned luck. 

Claire picked out a white rabbit and jade elephant talismans (traditional symbols of good fortune) and mailed them off to him. The wonderfully happy ending of this story is that the client called back last week say that our “Ruby magic is already working!” and the thief has been arrested! Magic or no, Claire’s thoughtfulness sure put a smile on our client’s face — and that’s what it’s all about!
